Make the disposal decision first
A Mac ready for collection should have a named person responsible for releasing it. Before any reset, ask the business owner to confirm the destination, the asset identifier and whether the device may leave the organisation. Keep a disputed or incomplete handover on hold rather than rushing to meet a courier booking.
Apple warns that its preparation steps erase the Mac’s data and advises backing up or transferring files beforehand. For a business, our recommendation is to agree what must be retained and have the responsible owner confirm access to the required records before authorising erasure. A colleague saying that files are probably in the cloud is not a completed check.
Choose the route for that machine
Apple’s Erase All Content and Settings route requires macOS Monterey 12 or later and a Mac with Apple silicon or the Apple T2 Security Chip. Its guidance provides a different sequence when that feature cannot be used. Ask IT to identify the hardware and operating-system version, then follow the current Apple instructions for that route.
This article is a planning aid, not a replacement for your organisation’s managed-device retirement procedure. Have the device-management owner confirm any organisational account, enrolment or ownership tasks before release. Do not assume a consumer reset checklist settles every business requirement, and do not ask a departing employee to bypass a management control.
Rehearse the handover decision
Consider a fictional design studio retiring a Mac used for client artwork. The project owner can open the final files from the approved system, but a local archive has no agreed destination. The team pauses disposal, assigns the archive decision and records who must confirm completion. The useful outcome is a resolved ownership question before an irreversible step.
Keep the evidence proportionate: identify the records checked and the person who confirmed them, without attaching the client artwork to the disposal ticket. Arrange a separate authorised check that the selected reset process completed. If the device will not start or the process fails, keep custody with the responsible team and seek appropriate support.
Release it with an accountable record
Before collection, ask a second authorised person to compare the physical asset with the release record. Our suggested record includes the approved destination, the completed reset check and any unresolved exception. An unresolved exception should have an explicit decision from the responsible owner, not disappear when the ticket closes.
Keep the transfer receipt with the asset record under your normal retention rules. This workflow does not promise a particular resale value or certify data sanitisation. It gives the organisation a clear basis for deciding that this specific machine is ready to leave, with someone accountable for that decision.
