Agree what the visit actually needs
A file name in a folder is not a useful readiness check for someone heading to a customer site. Start with the work: which drawings, instructions or meeting papers will the person need if the connection is unavailable? Ask the document owner to identify the current versions and approve which material may be held on the laptop.
Microsoft explains that OneDrive files marked with a blue cloud are online-only and cannot be opened without an internet connection. For files that need to travel, its documented right-click option is Always keep on this device. This downloads the selected files and uses local disk space.
Prepare a small working set
Our suggestion is to prepare only the approved material needed for the visit. Ask IT for help if the option is unavailable or the download does not complete; do not work around company controls by copying the folder into a personal account. Agree who owns the final version check, especially when colleagues will continue editing the source material.
Allow time for the downloads while still connected. Then arrange a brief rehearsal: temporarily disconnect the test laptop from the network and open the required files in the applications the traveller intends to use. Follow your organisation’s rules for that test and reconnect afterwards. Treat an error as something to resolve before departure, rather than assuming that a visible file will work later.
Try the whole task
For a fictional example, a facilities coordinator needs a drawing and a job sheet for a building visit. She prepares the approved versions, then rehearses opening both away from the network. A hyperlink to a separate online reference is still part of the job, so she asks the document owner for an approved alternative before leaving. The exercise is about completing the visit, not merely downloading a folder.
Check any necessary application access as part of the rehearsal. This file-storage guidance does not establish whether your particular application, licence or connected workflow can operate offline. Write down what worked and which dependencies remain. If a critical step still needs a connection, agree a fallback with the person responsible for delivery.
Close the travel copy deliberately
After the visit, confirm that any work has reached its agreed destination before changing local availability. Microsoft distinguishes Free up space, which returns a file to online-only, from deleting it: deleting an online-only file removes it from OneDrive across devices and online. Ask support if the distinction is unclear before tidying the working folder.
Leave a short preparation note the next traveller can reuse: the owner of the file list, the date of the version check and the result of the offline rehearsal. Keep the list within the approved system. Our recommended outcome is a small, tested working set and an agreed fallback; it is not a promise that every remote visit will run without connectivity.
